Let’s keep it all the way real, group trips can be amazing… or a full blown mess if you’re not ready. From the group chat drama to the one friend who never pays on time (👀), there’s a lot that can go sideways.

But with the right prep? Your group trip will be fun, drama free, and full of memories that last way longer than your tan.

Here’s everything you need to know before you hop on that flight with your crew.

1. Set Expectations Before You Pack Anything
The biggest issues happen when nobody knows what the trip is really about.
*Is this a party trip or a chill one?
*Is the goal adventure, bonding, rest… or all three?
*Is someone in charge or is it chaos with extra steps?

Talk it through before you book. And get everything in writing, group chat, shared Google Doc, whatever works.

2. Money Talk: Have It Early
Money shouldn’t be awkward, but it gets awkward real quick if y’all avoid it.
*Can everyone afford the same hotel?
*Are meals split or separate checks?
*Are excursions optional or part of the group plan?

It’s way easier to set expectations now than to deal with tension later. Trust.

3. Lock In Dates, and Stick to Them
Stop trying to make the dates work for everyone. Choose a window, get majority buy-in, and move forward.
Whoever can make it, makes it. Whoever can’t? Next trip. This keeps the momentum going, and the planner from losing their mind.

4. Assign a Trip Captain (Yes, Really)
Every group needs that one person who’s keeping the energy flowing and the reservations confirmed.
*They’re not the boss, but they’re keeping things on track
*They handle reminders, links, and updates
*They make sure the itinerary isn’t 90% vibes and 10% chaos

Rotate the role for future trips to keep things fair.

5. Plan Group Activities, But Build in “Me Time”
You don’t have to do everything together. Schedule a few must-do activities (excursion, group dinner, spa day), then let everyone do their thing.
Some folks wanna shop, others want to nap, and that’s okay.

6. Expect Imperfections
Somebody’s flight might get delayed.
The restaurant you picked might be mid.
Someone might wake up grumpy.

Roll with it. Don’t let one hiccup take down the whole trip. Keep it light, laugh when you can, and focus on the big picture.

7. Capture the Magic
Pick someone to be the unofficial trip photographer.
Take group pics. Candid moments. Goofy videos.
And after the trip, create a shared photo album or Google Drive so everyone can relive the memories.
